The Shipping Coordinator is responsible for coordinating all daily shipping activities within the facility. This role serves as the primary link between customer orders, finished goods inventory, transportation operations, and shipment execution.

The Shipping Coordinator ensures that products are properly staged, verified, loaded, documented, and released for shipment according to customer requirements and company procedures.

This position requires strong organizational skills, inventory awareness, attention to detail, and the ability to coordinate multiple priorities within a fast-paced manufacturing environment.

 

Primary Areas of Responsibility

Shipping Operations

  • Coordinate daily shipping schedules.
  • Prioritize shipments based on customer delivery requirements.
  • Ensure customer orders are prepared accurately.
  • Coordinate shipment readiness with production personnel.
  • Verify shipment documentation before release.
  • Support on-time shipment performance objectives.
  • Coordinate inter-company transfers and internal distribution shipments.

Shipping Documentation

  • Prepare and verify bills of lading.
  • Review shipping paperwork for completeness and accuracy.
  • Maintain shipment records and electronic documentation.
  • Verify customer-specific shipping instructions.
  • Ensure shipment paperwork accompanies outbound freight.
  • Coordinate shipment tracking and proof-of-delivery documentation.

Inventory Verification and Control

  • Verify finished goods inventory prior to shipment.
  • Investigate inventory discrepancies.
  • Assist with cycle counts and physical inventories.
  • Ensure inventory transactions are processed accurately.
  • Coordinate inventory adjustments when approved.
  • Support inventory accuracy initiatives.

Loading and Shipment Coordination

  • Coordinate trailer loading activities.
  • Schedule dock assignments and loading priorities.
  • Confirm proper product placement and load securement.
  • Verify quantities and product identification before shipment.
  • Coordinate loading activities with drivers and carriers.
  • Monitor loading efficiency and throughput.

Safety and Quality

  • Adhere to all safety policies and procedures.
  • Ensure proper PPE is used within shipping areas.
  • Support incident prevention efforts.
  • Protect product quality during handling, staging, and loading.
  • Report unsafe conditions and quality concerns immediately.
  • Maintain housekeeping standards throughout shipping areas.

Personnel Coordination

  • Coordinate daily activities of shipping personnel.
  • Assist with onboarding and training of shipping employees.
  • Communicate priorities and workload requirements.
  • Promote teamwork and accountability within the shipping operation.
  • Assist the Traffic Manager with evaluating operational staffing needs.

Continuous Improvement

  • Identify opportunities to improve shipment accuracy.
  • Reduce shipping errors and freight claims.
  • Improve warehouse organization and load planning processes.
  • Support continuous improvement initiatives.
  • Recommend efficiency improvements that reduce operational costs and improve customer service.

 

Qualifications and Success Factors

  • Minimum 2 years of shipping, warehouse, logistics, distribution, or manufacturing experience.
  • Working knowledge of inventory control and shipping processes.
  • Ability to prepare and review shipping documents accurately.
  • Strong written and verbal communication skills with all levels of the organization.
  • Proficient in Microsoft Office and ERP/Warehouse Management systems.
  • Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
  • Ability to identify shipping discrepancies and implement effective corrective actions.
  • Ability to work overtime and flexible schedules when business conditions require.
  • Ability to stand, walk, bend, twist, reach, and lift up to 50 pounds while wearing required PPE.

 

Supervisory Scope

The Shipping Coordinator provides daily work coordination and functional direction to shipping personnel, loaders, and warehouse support employees engaged in shipping activities. Formal disciplinary authority remains with the Traffic Manager.

Time to Proficiency

The employee must be able to perform all job-related duties on or about 60 days after starting the position.
