The Maintenance Purchasing position is responsible for sourcing, procuring, and managing the supply of materials, equipment, and services necessary for the ongoing maintenance operations. This role ensures the timely and cost-effective acquisition of goods and services, supporting maintenance teams to minimize downtime and optimize asset performance.
So, what will you be doing as a Maintenance Purchaser?
- Procurement of Maintenance Supplies: Identify, evaluate, and select suppliers for maintenance-related equipment, materials, tools, and spare parts. Prepare and process purchase orders in accordance with company policies. This includes obtaining materials and services for planned and unplanned work orders.
- Vendor Management: Develop and maintain relationships with vendors, sourcing alternate suppliers, negotiating price quotations, and tracking costs.
- Inventory Coordination: Monitor stock levels and coordinate with maintenance and warehouse teams to maintain optimal inventory levels and prevent shortages or excess.
- Budget and Cost Control: Track expenditures and identify opportunities for cost savings. Ensure purchases align with budgetary constraints and maintenance plans.
- Compliance and Documentation: Ensure all purchasing activities comply with relevant regulations and company standards. Maintain accurate records of purchases, contracts, and supplier performance which will include creating and maintaining Excel spreadsheets.
- Supplier Evaluation: Assess supplier reliability, quality, and delivery performance. Conduct periodic reviews and recommend changes as needed.
- Collaboration: Work closely with maintenance manager to forecast needs and align purchasing strategies with maintenance schedules.
- Problem Resolution: Address supply issues, delays, or discrepancies with vendors to ensure uninterrupted maintenance operations.
- Track, schedule, and document maintenance activities within the Computerized Maintenance Management System (CMMS).
- Coordinate pickups and deliveries for parts.
- Check in parts upon arrival and put away in their designated locations.
- Load and unload parts via forklift as needed.
- Create and maintain Excel spreadsheets.
- Submit monthly expense reports on time.
- Maintain a clean and organized office area.
- Filing, organizing, and maintaining physical and digital records, documents, and correspondence.
- Performing other tasks assigned by the Maintenance Manager.
To be successful in this role, you’ll need:
- Education: High school diploma or equivalent.
- Experience: Previous experience in purchasing, procurement, or supply chain management, ideally within a maintenance or industrial environment.
- Technical Knowledge: Familiarity with maintenance operations, equipment, and inventory management systems.
- Communication: Strong negotiation and interpersonal skills to manage vendor relationships and collaborate with internal teams. Communicate clearly and respectfully with all levels of the organization, both internally and externally, in both written and verbal form.
- Organizational Skills: Excellent attention to detail, ability to manage multiple tasks, and prioritize workload efficiently.
- Analytical Ability: Proficiency in analyzing costs, supplier performance, and inventory data to make informed purchasing decisions.
- Software Proficiency: Experience with purchasing and inventory management software, such as ERP systems. Experience working with Computerized Maintenance Management System (CMMS) software. Highly skilled in Microsoft Office Suite, with a particular focus on advanced Excel functions.
- Demonstrated ability to independently source and procure parts for minor projects.
- Skilled in process analysis and challenge resolution, utilizing structured problem-solving methodologies to implement effective solutions.
- Proven capacity to excel in fast-paced and occasionally ambiguous work environments.
- Committed to working overtime, including Saturdays, as needed.
