As an Office Assistant & Conference Center Coordinator you will have the opportunity to support the daily operations of the corporate office. Your contributions will have a direct impact on the business by providing administrative, clerical, and facility support. In addition, this role supports conference center operations, including meeting coordination, event set-up, and facility oversight.
So, what will you be doing as an Office Assistant and Conference Center Coordinator?
- Provide clerical and administrative support to ensure smooth daily operations
- Complete paperwork, respond to emails, manage spreadsheets, and maintain an organized filing system
- Support managers and employees through a variety of administrative and communication tasks
- Answer and direct incoming calls while delivering excellent customer service
- Provide receptionist coverage, including welcoming visitors and handling inquiries
- Assist with mailroom operations, including campus mail delivery, post office runs, and package processing
- Operate postal equipment and log incoming shipments accurately
- Maintain office supply inventory and coordinate ordering as needed
- Coordinate meetings and events with internal departments
- Set up and tear down of conference rooms and meeting spaces while ensuring all meeting needs are met, including room setup refreshments, catering coordination, audiovisual support, and replenishment of supplies
- Maintain cleanliness and organization of conference rooms, kitchen areas, and event spaces
- Support company events, including larger meetings and special functions
- Assist with general facilities and conference center support as needed
- Perform weekly inspections of the Wellness Center to ensure cleanliness, organization, and proper working conditions of equipment
- Assist with other tasks and responsibilities as assigned to ensure efficient operations
To be successful in this role, you’ll need:
- High School diploma or GED
- Valid driver’s license with a clean driving record
- Excellent communication skills and professional phone etiquette
- Attention to detail and accuracy
- Ability to stand, walk, and perform physical tasks related to mail delivery and event setup
- Proficiency in Microsoft Office (Outlook, Word, Excel) preferred
